Full Job Description:

We are looking for a driven, experienced, goal-oriented Executive Assistant to join our team. You will work directly with the CEO of the company to coordinate, oversee, and perform a wide variety of administrative and support tasks to facilitate business operations. The Executive Assistant is a multi-faceted position and will allow you to get experience in many different departments and areas of the company with a high potential for growth.

Responsibilities:

The responsibilities listed below are general examples, and not a description of comprehensive duties.   • Working directly with the CEO to support all aspects of his daily work routine.

  • Maintaining the CEO’s calendar, including scheduling meetings, appointments, & travel arrangements. Exercise discretion in committing time and evaluating needs.

  • Acting as the point-of-contact among the CEO, employees, clients & other external partners.

  • Drafting, reviewing, & sending communications on behalf of the CEO.

  • Conducting research, collecting data, & preparing reports; including conclusions and recommendations for company executives. 

  • Answering & responding to phone calls/communicating messages, & information. 

  • Maintaining various records & documents. 

  • Keeping the CEO advised of time-sensitive & priority issues, ensuring appropriate follow-up.

  • Handling printing, faxing, mail/overnight packages, copying, filing, & email/messages.

  • Assisting the CEO/President with other support duties/tasks as assigned.

Education:

  • Bachelor’s degree preferred, but not required.

Qualifications & Requirements:

  • 2+ years of administrative/executive assistant experience. 

  • Reliable source of transportation (will occasionally run errands).

  • Excellent written & verbal communication skills.

  • Self-motivated, highly organized, & excellent follow-through skills.

  • Strong time-management skills & an ability to organize and coordinate multiple concurrent projects.

  • Proficiency with Microsoft Office suite (Outlook, Excel, Word, PowerPoint, and OneDrive). 

  • Technologically savvy with office equipment, & proficient computer skills (Microsoft Suite, G-Suite, and Adobe Acrobat).

  • Ability to work under deadlines & prioritize work effectively.

  • Excellent & diplomatic communication skills with good command of grammar and usage.

  • Being conscientious, detailed-oriented, highly organized, & proactive to ensure that short- and long-range tasks/projects are completed in a timely manner.
